Prime Villa Management (PVM) Frequently Asked Questions

This is a list of property management frequently asked questions which is made up from the most common questions that we receive from homeowners who are interested in quality property care. Our frequently asked questions (and their answers) typically form a first step in an owner evaluation of whether PVM is the right fit for their needs.
PVM is offering two kinds of agreements, our standard agreement ideally for owners who do not wish to rent out their property and our All-in-One full property Management Service & Rental agreement for owners who wish a return on their investment.
At PVM we go many steps further than most companies and are happy to answer any other questions that you may have. We perform our own analysis of each property and if you choose a rental agreement we ensure it will fit into our portfolio. This is based on the location, age, current decor and the mix of owner vs. company bookings. Our success is your success and we want to make sure that your expectations are aligned with ours. In this way, we can make sure that there are no surprises to either party in the future

If you sign up for our standard property management service agreement we offer you the following services:
Standard Agreement (minimum 1 year contract)

  • Open windows when a house is empty for air circulation (Oct-Mar: 1 x week; Apr-Sep: 2 x month
  • Check of lights/ bulbs needed (costs of Bulbs will be charged)
  • Check of outside drains (balconies): Oct-Mar: 1 x week; Apr-Sep: 2 x month
  • 1 Deep cleaning of the house per year (Departure Cleaning: owner may choose date)
  • Maintenance check for necessary works: 2 x month
  • Owners Pre-arrival property inspections by in-house staff
  • Clear, concise and accurate monthly and annual statements
  • A personal Client Services representative available to help answer any questions
  • Access to all other services mentioned on our website against preferred rates
  • Optional utility bill management/payment
  • For all other services we will agree a tailored solution that suits your needs, these services are charged per hour, like this you are always in control of the costs

You’re getting comprehensive All-In-One full property management service, meaning that when you’re a PVM homeowner, you’re completely covered. From standard property care and maintenance to industry-leading guest service and rental marketing, our owners enjoy a variety of owner services that make owning a vacation home a stress-free experience. Services like:

  • Professional property care including regular housekeeping, home inspection, lawn care and home basic maintenance.

We know that a vacation home is a major investment to most owners. We also know that our homeowners expect a fair return on that investment. That’s why PVM only takes high value retail bookings. These are taken through individual guests and travel agents or their affiliates, rather than discount tour operators. This allows our homeowners to enjoy the maximum possible return.

Of course! It’s your home and you can stay in whenever you want. However, there may be guests eager to stay in your rental, so we ask that you notify us well in advance. We can then block off your desired dates so it doesn’t show as available on the calendars.

From experience, we know that a small number of owners like to come during the most popular (and busiest!) times of year. While you’re free to do that – we recommend that you leave those dates open for us to generate maximum revenue for your home during the peak dates. Why not book yourself into a swanky hotel with the proceeds from renting out your home?

It is the Owners responsibility to hold and maintain valid and adequate civil liability insurance with multi-risk type coverage and including coverage for damages caused, by acts of negligence and/or criminal intent, to the PROPERTY, its furniture, equipment, fittings, utensils and/or personal effects of the occupants, during the tourist management period and/or effective occupancy of the PROPERTY.

The management fees are paid upfront for 6 Months, followed by monthly payments.

When signing with PVM, you will establish a rolling expense account for utility costs with a small initial deposit which varies based on your property type and size.

Different management agreements with different rates are available based on your unique needs as a homeowner. In addition the location, size and amenities of your home will change the weekly fees. PVM offers competitive property management rates in the Algarve area and our service fees cover all aspects of managing your home, including maintenance, marketing, accounting and more. PVM team of experienced Hospitality professionals implements a multi-channel marketing plan and creates a personalized listing for each property. We also use several of the world’s largest property listing channels. This ensures that your property enjoys maximum possible exposure and reaches millions of potential renters.

PVM makes no guarantees that certain homes will be booked over others. The choice of vacation rental is ultimately the decision of the renter. However, our homes do collectively enjoy an average annual occupancy rate of over 50%, meaning most of our homes are occupied for more than 26 weeks out of the year.

Yes. Part of PVM comprehensive property management services is the payment and management of utility bills. Utility bills presented to PVM can be paid via the expense account that you establish with the company upon joining our program. This account is replenished either by rental income or owner deposit.

Our team will receive the guests personally and will give an introduction to your home. While guests are staying in your home, they enjoy access to PVM Hospitality Concierge Services, through which they can make dinner reservations, secure theme park, rental cars, private chefs, Golf, reserve a spa day etc. When it’s time for your guests to leave we will be present during the check out, locking your home and leaving it ready for our property care staff to clean and prepare for the next party.

Our team consists of experienced successful Hospitality Managers who have been involved for the past 30 years in the construction, maintenance and daily management of leading luxury resorts in the Algarve and Madeira. We understand the local challenges and regulations, the importance of protecting the investment and owner’s privacy and we have preferred contacts with trusted commercial channels should you choose to rent your property.

The team of PVM are dedicated professionals, their sole responsibility is managing your investment and keeping it perfect order for you, your family and your rental guests. Our property care team includes professional housekeeping staff, pool cleaners, landscapers, maintenance team and private Chefs. Each PVM homeowner has a personal Owner Liaison that serves as their connection to all of PVM's various departments. Whether you have a question about home care, billing, reservations, or anything else, your Owner Liaison will be ready and waiting to assist you.

PVM employs a Guest Service team rivaling that of many upscale resorts. Our Guest Service Team is on call 7 days a week, ready to respond to any and all guest inquiries. From booking to check out, we go the extra mile to meet each guest’s unique needs and ensure they have everything necessary for the perfect stay while in your home.
